How it works

Westmere handles the work that keeps good owner opportunities from being forgotten.

The first engagement starts with a defined pipeline—not a promise to take over every sales conversation on day one.

01

Find what is still alive

Review current inquiries, old consultations, nurture records and proposals. Close the dead records and identify the ones still worth time.

02

Re-engage and qualify

Use client-approved messaging to confirm timing, property fit, motivation and whether a real conversation makes sense.

03

Book and prepare

Schedule qualified conversations and give the principal a short brief on the owner, property, pain point, timing and likely blockers.

04

Keep the decision moving

Coordinate proposals, follow-up, nurture and activation so each credible opportunity reaches a real outcome.

A practical division of labour

Westmere removes the administration and follow-through around the close. The PM company keeps the trust, judgment and authority that should stay in-house.

Westmere handles

  • Pipeline audit, cleanup and prioritization
  • Approved reactivation and basic qualification
  • Meeting scheduling and principal briefs
  • Proposal follow-up, nurture and activation coordination
  • Weekly pipeline and attribution reporting

Your team handles

  • Important discovery and relationship conversations
  • Service commitments, pricing and exceptions
  • Property acceptance and agreement execution
  • Final closing judgment and ongoing PM delivery
Two distinct offers

Recover the backlog first. Earn the right to manage the ongoing pipeline.

Pipeline recovery is the entry project. Ongoing owner conversion is the recurring service for firms with enough monthly opportunity volume.

Start here

Owner Pipeline Recovery

A fixed-scope 90-day engagement for dormant inquiries, old consultations, unclosed proposals and stalled owner accounts.

  • Pipeline audit and record cleanup
  • Approved reactivation and qualification
  • Qualified meetings and principal preparation
  • Proposal progression and decision tracking
  • Activation status and attribution
Best for proving whether recoverable demand exists before making a long-term commitment.
After proof

Ongoing Owner Conversion

Continued support for the new owner demand entering the business each month once the process, rules and communication standards are proven.

  • New-inquiry qualification and scheduling
  • Proposal follow-through and long-term nurture
  • Principal decision queue and meeting briefs
  • Activation coordination and reporting
  • Quarterly pipeline recovery sweeps
Only makes sense when the PM firm has consistent inbound volume and operational capacity to add doors.
90-day pipeline pilot

One real pipeline. One accountable operating cycle.

The pilot is designed to answer the question that matters: are there credible owner opportunities inside the business that can be re-engaged and advanced with disciplined follow-through?

  • Define the pipeline segment and baseline
  • Review and verify the records worth working
  • Run approved outreach, qualification and scheduling
  • Keep proposals and decisions moving
  • Report leading results during the pilot
  • Track signed and activated doors for up to 180 days

Operating support

The software supports the work. It is not the service.

Westmere works through the client’s existing CRM, email, phone and property-management systems. The internal console is used to audit records, prioritize actions, route principal decisions, coordinate activation and prove attribution.

No CRM replacementThe client’s systems remain the official source of contacts, communication and agreements.
Controlled first pilotThe engagement can begin from an authorized export and manual verification before any live integration is considered.
Built around accountabilityThe useful output is a clear action, decision, outcome and attributable door—not another dashboard login.

Client fit

The pilot only works when there is real pipeline volume and room to grow.

Westmere is not a universal service for every PM company. The opening conversation determines whether there is enough opportunity and operating capacity to justify the work.

A strong fit

Usually an established independent residential PM firm.

  • Roughly 200–1,000 managed doors
  • At least 5 meaningful owner opportunities per month or a substantial historical backlog
  • Founder- or principal-led sales with inconsistent follow-through
  • Enough operational capacity to add 25+ doors well
  • Willingness to provide controlled access and approve communication

Probably not yet

The engagement is unlikely to produce enough value when:

  • There are very few historical owner records
  • The firm wants cold lead generation or paid marketing
  • A strong BDM already owns the pipeline effectively
  • Operations cannot absorb additional properties
  • The principal cannot participate in qualified sales conversations
Common questions

The practical details.

The pilot is intentionally narrow, transparent and designed around the systems the PM firm already uses.

Does Westmere generate new leads?
No. The first engagement starts with existing owner inquiries, consultations, proposals and nurture records. Ongoing inbound support may be added after the recovery pilot proves the working relationship.
Who actually contacts the owner?
Westmere can send client-approved reactivation and follow-up through the client’s systems, collect basic fit information and book conversations. The PM principal leads important discovery, pricing, relationship selling and the final close.
Does this replace LeadSimple, HubSpot or our PMS?
No. The client’s CRM, email, phone, calendar and PMS remain the official systems. Westmere operates the process around them and uses its console for prioritization, decisions, activation status and reporting.
What happens if an owner is not ready within 90 days?
The pilot measures leading progress during the active period and keeps an attribution window open for up to 180 days. Opportunities with genuine future timing are placed into a documented nurture path rather than falsely counted as wins.
Are signed doors guaranteed?
No. Results depend on record quality, market fit, the PM company’s reputation and pricing, owner timing and the firm’s operating capacity. Westmere guarantees a defined process and transparent reporting—not a fabricated door guarantee.
Why not hire a part-time BDM?
That may become the right answer. The pilot gives the PM firm a faster, fixed-scope way to test the pipeline, establish the process and learn the workload before recruiting, training and carrying a permanent sales hire.
Pipeline review

See whether there is recoverable owner demand in your pipeline.

The first conversation covers opportunity volume, record quality, where deals stall, who currently owns follow-up and whether the business has capacity to activate more doors.

  • No CRM access is required for the first conversation
  • No sensitive owner information should be submitted here
  • Qualified firms receive a fixed-scope pilot recommendation
